Best Practices to insure safety and prevention of future data loss.


JX provides state-of-the-art cloud-based tools (Google G-Suite)  to help you work from anywhere and on virtually any device - whether it is a JX issued laptop, personal computer, phone, or tablet.


NEVER use ANY of following to backup files on your own:

  • Flash Drive

  • Thumb Drive

  • USB drive

  • External Hard Drive

  • CD or DVD burner


Working within Google Drive (Docs, Sheets, etc) is the best way to make sure your work is saved.   You can upload MS Office files, PDF’s, photos and videos to Drive as well.


To make it easier to securely store important files - Google Filestream has been installed on your computer!


Here’s how it works:


To find Google FileStream on your computer, there may be an icon on your desktop:




Or, you can always access it through file explorer as your G:\ drive:




DO NOT SAVE FILES ON YOUR DESKTOP --  They are not backed up if they are stored there.


To store important files that you would never want to lose, save them to your Google FileStream or CUT AND PASTE files into Google File Stream and create Shortcuts to commonly used files or folders.


For example, Sales Executives may want to have a folder of “DEALS” to store specs, quotes, signed contracts, photos, etc.   


Inside Google Filestream (Google Drive), create a “DEALS” folder


















How to arrange your DEALS folder :

(this is a suggestion, you can set it up however works best for you!)














To make a shortcut to your DEALS folder on your desktop for ease-of-access, right-click on the DEALS folder and choose SEND TO, Desktop Shortcut.  (you can do this with any file or directory you want access to frequently)



This will create a shortcut like this on your desktop:





If you have a new laptop, you may find yourself struggling to find links to the sites you use most frequently.  Google Chrome can make this easier in the future, and you may already have some data synced with Chrome!


How to setup GOOGLE CHROME to remember your bookmarks and start pages to frequently used sites:


Open Google Chrome and log into your JXE email account (you may be already signed in):





In the upper right corner, you should see your profile picture:



Click on the TOP profile picture….





Now you will have an option to “TURN ON SYNC”


Choose “yes, I’m in”

Install complete!   Now all of your previously stored bookmarks and start pages will sync to this computer’s browser and any future/other computer you set this up on (see the bookmark’s bar across the screen in the image below).   Any changes you make will be sync’d to your account.


ALLOWING CHROME TO REMEMBER YOUR PASSWORDS IS NOT RECOMMENDED!


How to manage the POP UP BLOCKER for certain approved sites (example: Peterbilt e-Portal)


Some sites use pop-ups to display information, Chrome blocks many of these pop-ups by default.   Instructions below on how to enable pop-ups for specific sites.  


DO NOT DISABLE POP-UP BLOCKER FOR ALL SITES.


The easiest way is to do this when you access a site that requires pop-ups:



Method #2 is this:


Go to SITE SETTINGS:


Find the site you want to approve (you must have tried to go to this site already):




Find “Pop-ups and Redirects” and set to ALLOW:




CLOSE AND RESTART Chrome, your site should now work as intended.
